This GDPR compliant one colour Visitor Pass System can be completely personalised. Not only can you display your logo, you can also have your own text on the tear-out passes and back-sheet to reflect your organisation’s health and safety, safeguarding and fire procedures.
Three Step Process: Pay – Personalise - Approve
1. Pay: Using the dropdown above, select the quantities of passes you wish to order (the more you order, the cheaper it is per pass)
2.Personalise: Using the logo button above, upload a copy of your logo. Then, using the Template Document button above, download the attached Word document and change our standard text to say exactly what you want your pass system to show. Then email it to us at [email protected]
3. Approve: We will then take 24 hours to set your artwork and email it back to you. Rest assured, we will not print anything until you have seen and approved an emailed visual of your system.
Of course, if you would rather, we can take your order over the phone and guide you through each step of the process.
Delivery: On average between 7 and 14 working days
Free Starter Kit: When you order for the first time, we also give you a free folding backboard and 10 wallets and clips to get you started.

Product Features
SSP's personalised visitor pass system has everything you need to welcome visitors to your building. This system not only records all relevant visitor information, it also notifies guests of essential Health and Safety instructions. The back-sheet can also be used if you are doing a head count in the event of a fire.
This system comes complete with a data protection sheet to ensure visitors' details are kept confidential as per the requirements of the Data Protection Act 1998 and the GDPR 2018.
Is this Visitor System compliant with the GDPR?
Yes it does comply with the GDPR (General Data Protection Regulations), although compliance does very much depend on where you locate this product and how you manage this list of names. If your visitor pass system is on display in a supervised / manned area - as it has a discreet sheet hiding the names - then it will comply. The only thing we would perhaps say is you will need to remove this system from view should that area be vacated (unmanned) for any length of time.
Why buy from SSP Direct?
If the thousands of positive customer reviews are not quite enough, we were first established way back in 1999. As preferred suppliers to hundreds of schools, local authorities and hospitals, we know that it’s all about being efficient, supplying quality products and delivering good, honest customer service. We are proud to say that most of our sales now are to repeat customers, which we believe to be the greatest testimony we could ask for.

5. Is there anybody that you have dealt with that deserves a special mention in our team meeting? I tend to forget the names of the people who answer the phone and take the orders, but for your Team Meetings I have always met good customer service from your colleagues and they are always helpful to me.

Product:
1.What made you choose to buy these products from SSP? We have used you before
2.What did you think of the product? Very good
Service:
3.What did we get right? No… the order was correct but the pickers only sent one visitor book instead of three. Also the new visitor badges were in two packs, 00001 – 2000 in both. We needed a continuous number form 0001 – 4000. Gwyn is sorting this for us.
4.What could we improve? Apart from above nothing
5. Is there anybody that you have dealt with that deserves a special mention in our team meeting? Gwyn has been very helpful and assisted me in getting the right products ordered. All problems handled well.

Many thanks for your clear client retention and service integrity.
You very seldom see this level of diligence and care towards after sales customer service, very refreshing to see.
I will certainly not hesitate to use you for all our signage / safety needs in the future and will recommend your company whenever the opportunity arises.

1. What made you choose to buy these products from SSP?
Combination of Google search and seeing the product used at a different school.
2. What did you think of the service?
Very good. I liked the fact that people responded to my emails and phone calls even when someone was out of the office. The proofs arrived promptly which speeded up the whole process.
3. What did you think of the product?
Good quality product, neatly packaged and swiftly delivered. I’ll be interested in how our Office staff find getting visitors to use it after half term.
4. Out of 5 (with 5 being great) how would you rate us?
So far, 5/5 with the website 3/5.
5. Overall, how do you feel we could improve as a business?
The website is too cluttered and busy. There are so many products advertised and so many options within each product range. I think that from a first time visitor’s perspective it can be a little overwhelming. A neater website with far fewer menus and sub-menus and fewer thumbnail images could be better. In terms of the visitors’ book, it was quite difficult to actually see (online) how it would operate as the images of it were displayed separately. A short video of someone signing in, tearing off, folding and placing in the pass holder may be clearer.
Is this Visitor System compliant with the GDPR?
On the 25th May 2018, the UK’s Data Protection Act was superseded by the General Data Protection Regulations (GDPR). This new piece of legislation increased the level of responsibility workplaces have in managing and storing data compliantly. Critically, in the case of visitor records, this means other visitors or staff should not be able to see who has signed in previously.
To comply with this legislation, this tear-out visitor system features a discreet sheet to conceal the names of previous visitors. This full list of names should only be seen by the responsible person in the event of a security breach or should the building be evacuated.
Like many processes under the GDPR, this product only complies if it is used correctly. We would advise that the book will need to be under supervision of at least one member of staff to ensure it is not removed or the discreet sheet lifted or torn-out. In line with the GDRP, these passes should never be left at an unmanned reception.
