Under 2018's GDPR (General Data Protection Regulations), visitor books should not show the current visitor the names of those that have previously visited.
The Solution To get around this issue, we have developed this fully compliant signing in book. As you can see, the signing-in panel has the name fields blacked out. When visiting the premises, the next visitor writes on the clearly marked next line down.
Should you - the building's owner or manager - wish to see a full list of who has signed in, you just need to separate the top blacked-out sheet from the duplicated under-sheet. As you can see in the pictures, the NCR under-sheet will give you a list of who has signed in and out that day. This is particularly useful if the building is evacuated and you need to make sure everyone is safe.
How do you personalise this book? We try to make this as easy as possible. Just follow these three steps:
Firstly attach your logo using the button above. This will appear on every page.
If you want to add fields (like car registration) to each sign in panel, advise us using the Instructions box at the top of this page.
We can print your front cover in whatever style you want. You can either advise us in the same Instructions box below (eg “blue, Arial font, showing our logo and address at the top of the page”) or you can email a front cover to us at [email protected].
It’s a simple as that! We will then produce draft copies as a PDF and email it back to you for you to either approve or advise on amends as you see fit.

What did you think of the product? The product met our needs to ensure the privacy of our visitors. Due to the change of the privacy rules in The Netherlands we have to take this action. 3. What did we get right? The mutual communication went quickly and accurately. There were some complications in paying that we came out together. In addition, the employees that I have spoken with were helpful and careful. 4. What could we improve? Maybe finding a solution to improve the payment from abroad, in our case The Netherlands. Is this blacked-out signing in book compliant with the GDPR?
As of the 25th May 2018, the UK’s Data Protection Act will be replaced by the General Data Protection Regulation (GDPR). This new piece of legislation increases the level of responsibility workplaces have in managing and storing data compliantly. Critically, in the case of visitor records, this means other visitors or staff should not be able to see who has signed in previously.
With this unique sign-in book the top sheet has blacked-out panels, where the names of the visitor, the visitor’s company (if applicable) and the person they are visiting is completely obscured. Each blacked out sheet is sealed to the under-sheet, where a full list of unobscured names is shown. This list of names should only be seen by the responsible person in the event of a security breach or should the building be evacuated.
Like many processes under the GDPR, this product complies if it is used correctly. Critically we would advise that the book will need to be continually supervised to ensure it is not taken or the blacked out top sheet removed. The book should never be left unattended for any length of time.
