Under both the Data Protection Act 1998 and General Data Protection Regulation (GDPR), sign-in books should not visibly display each student’s name to others. Whilst it is acceptable to display the reason for their lateness, the name of the student should be protected under this legislation.
The Solution To get around the issue raised above, we have developed this fully compliant late arrival register. As you can see, the student name field is blacked out. The responsible member of staff just needs to write over the top of blacked out panels. Without pushing too hard with a pen, the name will be recorded on the concealed sheet underneath.
Should a responsible person in your school, college or university wish to see a full list of who has arrived late and the associated reasons, they just need to separate the top blacked-out sheet from the duplicated under-sheet. As you can see in the pictures, the NCR under-sheet will give you a list of who has arrived late.

Is this blacked-out signing in book compliant with the GDPR?
As of the 25th May 2018, the UK’s Data Protection Act will be replaced by the General Data Protection Regulation (GDPR). This new piece of legislation increases the level of responsibility workplaces have in managing and storing data compliantly. Critically, in the case of visitor records, this means other visitors or staff should not be able to see who has signed in previously.
With this unique sign-in book the top sheet has blacked-out panels, where the names of the visitor, the visitor’s company (if applicable) and the person they are visiting is completely obscured. Each blacked out sheet is sealed to the under-sheet, where a full list of unobscured names is shown. This list of names should only be seen by the responsible person in the event of a security breach or should the building be evacuated.
Like many processes under the GDPR, this product complies if it is used correctly. Critically we would advise that the book will need to be continually supervised to ensure it is not taken or the blacked out top sheet removed. The book should never be left unattended for any length of time.
